What is the AI Inventory?

The AI Inventory is the centralized register of all known AI systems in your organization. It is the single source of truth that answers the most fundamental question in AI governance: what AI do we have? Learn more about AI Inventory.

Regulations like the EU AI Act, frameworks like ISO 42001, and internal governance policies all require organizations to maintain a clear record of their AI systems. Beyond compliance, an AI Inventory gives leadership visibility into how AI is being used across the organization, what risks exist, and where governance attention is needed. Without one, governance is guesswork. Learn more about regulatory alignment.

What the AI Inventory contains

The AI Inventory is made up of all the Assets in your platform. Each Asset represents a complete AI system with its linked Artifacts, risk profile, governance history, and current status. Together, they form a comprehensive map of your organization's AI landscape.

For each AI system in your inventory, you can see:

  • What it is and what it does
  • Who owns it and which business unit it belongs to
  • Where it was discovered and what evidence supports its existence
  • What risk level it carries based on governance and technical assessments
  • What governance actions have been taken and what is still outstanding
  • Whether it has been reviewed, approved, or is pending signoff

How the AI Inventory gets built

The AI Inventory is not something you build manually from scratch. It is the natural output of the platform's discovery and governance process:

1. Sources are connected to the platform

2. Scans discover AI related content across those Sources

3. AI Classification separates AI from non AI items

4. Artifacts are created for each AI related item

5. Reconciliation groups related Artifacts into Assets

6. Your AI Inventory is populated with structured, governable AI systems

Your team can also manually add AI systems to the inventory for cases where AI was not discovered through scanning, such as third party vendor AI or systems in environments not yet connected.

A living inventory, not a static list

The AI Inventory is not a one time snapshot. As new scans run, new Artifacts get discovered and reconciled into existing or new Assets. Teams can update Asset details, add new information, and track governance progress over time. The inventory evolves as your AI landscape changes, giving you an always current view of what exists.

This is critical because AI landscapes move fast. New models get deployed. Old ones get retired. Teams experiment with new approaches. A static inventory becomes outdated within weeks. A living inventory stays current automatically.

Compliance and audit readiness

A well maintained AI Inventory is a key requirement for most AI regulations and governance frameworks. When regulators, auditors, or leadership ask what AI your organization uses, the inventory provides the answer immediately. Every Asset comes with a full audit trail: when it was discovered, how it was classified, what assessments were performed, and what actions were taken. This is the kind of evidence based governance that builds trust with regulators and stakeholders. Learn more about AI audits.
